About the EIH

The EIH is a centralized platform that helps students discover, track and reflect on curricular, co-curricular and extra-curricular experiential education (EE) and student involvement opportunities.

Faculty and staff can use the EIH to easily promote and manage an activity or event, helping to increase student engagement at UBCO.

Publishing your experience in the EIH helps you

  • increase student awareness of your activity or event,
  • track event sign-ups, attendance, and cancellations, and
  • send automated event reminders.

Enhance student learning through guided reflections

The EIH guides students to reflect on their experiences and articulate the skills they’ve developed.

These prompted reflections bridge their academic and non-academic involvement, while enhancing learning outcomes.

Empower students for future success

Students can use the EIH to build a customizable Experience & Involvement Portfolio (EIP).

The EIP documents their growth, achievements and skill sets—preparing them for employment, graduate studies or other post-degree goals.

How to publish an experience

1. Create a Provider Portal account

Login or create an account in the Provider Portal. If creating a new account, search for your unit/department to join an existing organization.

2. Choose the right experience type

Activity or event? Choose the option that best fits your offering, then complete the corresponding request form within your Provider Portal dashboard

Activities

Activities are long-term or reoccurring experiences, such as long-term volunteering opportunities, co-curricular projects, and co-op work terms. Student participation is captured after the activity has been completed, prompting students to reflect on their skill development.

Events

Events are time-specific experiences, like workshops, retreats, or conferences. Once your event is listed in the EIH, you can use features to track registration, capture check-in, and empower learning.

Experiential Education

Determine whether your event or activity qualifies for an EE endorsement badge within the system. If it qualifies, please indicate this on your request form.

3. Look out for your experience approval

Once your experience is submitted to the EIH, our team will help ensure it aligns with the platform’s reflection structure. You will receive an email confirmation after your experience is published.

After you’ve published an event

When you publish an event within the EIH, you have the ability to:

1. Manage event registration

Built-in booking system

Use the EIH booking system to allow students to register for your event directly in the platform. You can monitor registration through the Provider Portal, and students will receive automated email reminders for upcoming events.

External booking system or no registration required

If you’re already using an external booking system like Qualtrics, or if your event does not require registration,you can enter an external booking link or promote that the event is open to all participants.

Note: Registration through external systems won’t be logged in the EIH, so students will need to check in at the event using the system-generated QR Code to record their attendance.

2. Capture event attendance

Regardless of your booking method, you can easily manage check-in with an event-specific QR code. View your event details in the Provider Portal and find the QR code under the “Sessions” tab.

Print or digitally display the QR code at your event to track attendance and gain insight into student engagement. Once scanned, the event is automatically added to each students’ profile.

Frequently asked questions

Yes, we recommend posting your events in both the EIH and on events.ok.ubc.ca.

If you are using the Experience & Involvement Hub to manage registration, create your event in the EIH first. Once approved, submit your event to events.ok.ubc.ca and include the EIH event link as your registration URL.

No, the EIH is only available for student use. If you are holding an event that is open to students, faculty and staff, we recommend collecting registration outside of the EIH system (e.g., Qualtrics) and capturing student attendance with the QR code check-in instead.
